Purpose
Therapy is most effective when there is consistency, clarity, and shared responsibility. The following policies are part of informed consent and are required for participation in services under New York State professional standards.
Session Start Times
Sessions begin promptly at the scheduled time. Clients are responsible for attending sessions on time and ensuring they are able to access the session using the provided Zoom link. Sessions are held for up to 15 minutes past the scheduled start time. If we are unable to connect within that window, the session is considered a no-show. I do not initiate phone calls, reminders, or outreach to begin sessions once the scheduled time has started.
Virtual Sessions
Clients are encouraged to log in a few minutes early to ensure technology is working properly. Unless otherwise noted, the same assigned Zoom link is used for all sessions. If there are difficulties accessing the session, clients must communicate clearly during the scheduled window. Messages indicating you will be 'right there' without clarity may not allow enough time to resolve issues.
Cancellation Policy
Cancellations must be made at least 48 hours in advance of the scheduled session time. Cancellations made with less than 48 hours’ notice are considered late cancellations and are charged the full session fee.
No-Show Policy
If a client does not attend their scheduled session and does not communicate in a way that allows the session to proceed within 15 minutes of the start time, the session is considered a no-show. No shows are charged the full session fee and are not eligible for credits or refunds. Repeated no-shows or late cancellations may result in pausing or discontinuing therapy.
Definition of an Emergency
Emergencies are unexpected, unavoidable events outside of the client’s control that prevent attendance. Examples include medical emergencies, accidents, or urgent family emergencies. Work conflicts, child care changes, forgetting appointments, time mismanagement, or technology issues that could have been addressed by logging in early are not considered emergencies.
Provider Cancellations & Banked Late Cancellations
In the rare event that I need to cancel a session with less than 48 hours’ notice, a banked late cancellation will be issued. This may be used once in the future for a late cancellation without charge. Banked late cancellations are non-transferable, not redeemable for refunds or credits, and do not apply to no-shows.
Informed Consent & Acknowledgment
By engaging in therapy services, clients acknowledge understanding and acceptance of these policies. These policies are part of informed consent in accordance with New York State regulations. Clients agree to take responsibility for attendance, communication, and participation in the therapeutic process.
